Thunderpalooza 2010 Committee

Minutes – November 5, 2009 Meeting

  1. Core Committee members and sub-committee chairs present were introduced, including Dave Ryan (Security), Kathleen Dudzinski (Entertainment), Jill Young (Co-chair-ticket sales), Heather Adamczyk (Baby photos), Mary Micallef (decorations, Brenda Zeben (Activities).
  2. The Raffle fundraiser has been publicized in the November School Life newsletter.
  3. The Treasurers report was presented; we have $9,394 in the bank and an additional $220 from the BBQ to be deposited- for a total of $9,614.  Katalin Rye reported she has a $90 bonus check from the Tiger concession fundraiser.
  4. The projected budget was reviewed. As the various committees make plans and get an idea of what they want to do we will make adjustments to the budget.  The Decorations budget was specifically identified as an area that may need adjustment.
  5. The BBQ fundraiser made a total of $630.  Kudos to Heather for spearheading that fundraiser and thank you to everyone that purchased dinners.
  6. We were offered the election bake sale at the last minute. We declined the opportunity as voter turnout was expected to be small.
  7. Patty Lyscas is distributing raffle tickets for the Raffle Fundraiser. The tickets were not printed in time for Parent Teacher Conferences.  They will be sold at school events, including the Sports Banquet. Parents who signed up to sell them will be asked to recruit other parents via phone to sell the tickets. Tickets are $5 each and the winning tickets will be picked 2/12/2010.  You must be 18 to sell tickets.
  8. Other potential fundraisers are – Dinner Dance, lawn signs, Bowling, Leo’s Coney Island.
  9. Ticket Sales Committee – Tickets were sold at Parent Teacher Conferences and Jill Young is selling tickets during lunch 2 days per week until 12/18, at which point we’ll have the Night Out drawing for early ticket buyers.  Mary Lane suggested we could give away Senior Class and Power Puff t-shirts as an incentive.  She also presented an announcement that will be read to students on the Daily bulletin.
  10. Activities committee – The activities committee met and whittled down the list of potential activities.  They will meet next week at the Racquet Club and will be getting a couple of quotes.  We must book the rental company soon, as June is a busy month for rental.  We will contact the DHS Senior party committee to share ideas and possibly negotiate with rental companies as a team.
  11. Decorations – As the activities are selected the Decorations committee will be able to make plans.  Decorations can be taken to the DRHC the day before the party.
  12. General discussion followed and the following items were noted;

a.     All of the grads may not fit in the food room at the same time if we are planning to have Make your own Sundaes at midnight.

b.     Karaoke was a popular activity for the first 2 hours of last year’s party.  If we have a DJ playing the entire night the grads will be exhausted.

c.     A lot of grads watched the hockey game during the party last year.

d.     Photos printed on t-shirts were popular in the past, and the inflatables were very popular.

  1. Parents were reminded about the blog.
  2. Entertainment – Kathleen Dudzinski contacted the DJ that worked the Homecoming Dance.  His price is a base of $500 with a $100 deposit for 3 to 4 hours with light effects.  For $750 we would have a smoke machine, wireless mike, and backup DJ.  Discussed the need to get a better price for a DJ and the possibility of having a parent run a karaoke machine and then play music.  There is not a place at the DHRC to have a large number of people dancing, and last year the grads danced on an impromptu basis in the halls, etc.
  3. Security – Discussed a possible 1 pm release time to a parent or older sibling.  Dave Ryan will check on our potential liability if we let grads leave early.  There will be no entry after 10 pm.  Purses and bags will be checked; boys will empty their pockets.  Last year the weight room was used as a coat check, and we will need a different area if that is used for activities.  There was a suggestion we use wristbands to identify grad belongings.  Every door must be constantly covered and volunteers will be rotated hourly.  There will be 2 people at the main entrance and 1 person in each locker room, 2 people in the parking lot.  A sign will be posted on the door re No Entry, No Exceptions.
  4. We should identify a snack/rest area for parent volunteers.
  5. Our next meeting will be December 3 at 7 p.m.

Class of 2010 Senior Class Party Committee

Minutes – October 15, 2009 Meeting

  1. Core Committee members and sub-committee chairs present were introduced to parents.  Members were encouraged to sign up for committees.
  2. Postcards were sent to Senior parents inviting them to the meeting.  Parents were encouraged to recruit more parents. 298 kids are currently listed as EFHS seniors, but that number should increase by the end of the year as MME credit issues are resolved.
  3. Discussed the proposed party theme, including Thunderpalooza, Around the World, The World is Yours,  and Oh the Places You’ll Go.  The membership approved the name Thunderpalooza 2010, Oh the Places You’ll Go.  The party activities and decorations will be centered on the concept of traveling to different places in the world, possibly with excerpts from the Dr. Seuss book used as inspirational messages as appropriate.  (sidenote – there is an Oh the Places You’ll Go Scholarship – deadline 2/15/2010    http://www.seussville.com/ohtheplaces/)
  4. Treasurers Report – We earned $7,062 via the Tiger Fundraiser., and put a deposit on the Dearborn Racquet Club (DRC) of $250.  Postcards to parents cost $39 for postage, leaving $6,772 in the bank account.
  5. Fundraising update

a.     Thank you to Mary Timpf and Katalin Rye for their work on the fundraiser, as well as all the parents who volunteered.

b.     Doriguzzi – there was approx $1,800 raised from Doriguzzi senior portrait sitting fees.  This is traditionally split with the senior class.  However, the class did very well with their fundraising endeavors and has $12,000 for the prom (Sunday, May 16).  So we will be able to keep the entire $1,800 for the party.

c.     $370 was raised via the bake sales at the 2 home football games organized by Colleen Marano.

d.     BBQ fundraiser – we are currently at 82 orders, and Heather Adamcyk will continue to take orders through Sunday.  Pickup is on 10/26.

e.     Cash prize raffle – Patty Lyscas received the license for the raffle this week.  She is looking for a printer for 3,000 raffle tickets, and has one quote for $131.  Dearborn Offset Printing was suggested.  The tickets will be $5 each.  First prize is $2,500, 2nd prize is $1,500 and 3rd price is $1,000.  If we sell all the tickets we will make $10K.  If we don’t sell at least 2,000 tickets the raffle will become a 50/50 raffle with smaller prize amounts. Volunteers are needed to sell tickets at hockey and basketball games.  You must be 18 or older to buy or sell tickets.  We will pick the winning tickets Feb 12, 2010.

f.      Lawn Signs – Mary Timpf presented the idea of selling lawn signs congratulating seniors.  She obtained a price of 30 signs @ 13.80., 50 @7.50, 75 @ 6.00, and 100 @ 4.88 each for 2 sided corrugated plastic signs.  We need more pricing information before deciding if we will do this.  If the price is too high, not enough parents will purchase the signs.

g.     We could have a fundraiser at Leo’s Coney Island – the Boosters made $200.

  1. Discussed how much we need for the party.  We currently have the minimum needed to run the party, with the ticket sales, but the more we raise the more gift items we can provide, the more we can spend on decorations, etc.  As the committees meet and make plans we will get a better idea of the cost. The $35 ticket price will increase to $50 after February 5.  Ticket sales will end May 28.  The DRC price is $20 per students.  So we have at least $15 per student for the variable costs.  Fundraising receipts we are assured of at this point will more than cover our estimate of $8,000 for games/activities and $600 for decorations.
  2. Activities committee – The activities committee met before the general meeting and reviewed a list of potential activities, rating them as yes, no, maybe, and “free”, and noting the items that were extremely popular last year.  Examples of these items were given.  We are looking for recommendations for companies to contact re renting the inflatables/games/photo activities, etc. We will meet again before the next general meeting, and would like to have one of our meetings at the DRC so we can get a better idea of the possibilities.
  3. Mary Micallef reviewed some potential ideas for decorations.  Now that the theme has been selected, the decorations committee can begin planning.  She also brought up the idea of have a Thunderbird Photo frame fundraiser, with the frames picked up at the party.
  4. General discussion followed: The DJ at the Homecoming dance was good.  The class of 2009 did not participate in the karaoke, but preferred dancing. The Decoration and Entertainment committees will need a budget.  Would we need paid photographers, or can we ask parents to take pictures?  Caroline Wach volunteered to take pictures at the party.
  5. Information is on the website for purchasing yearbook ads.  The deadline for baby ads was extended.  Check out the website.
  6. Our next meeting will be Nov 5 at 7 pm.

Post script – The total for Doriguzzi was $1,815, total for the bake sale was $370.15.  We made $410 on the BBQ preorders, and an additional $220 on walkups.
